Show Load In
Show load-in is your first stop when you arrive at the venue. Following the correct check-in procedure ensures your materials are on the floor and ready when you are.
Step 1: Check In at the Exhibitor Services Desk
Before doing anything else, locate the Exhibitor Services Desk at the venue. This is typically near the main loading dock entrance or inside the registration area. Signage at the venue will direct you.
Step 2: Verify Your Account
At the services desk, you will:
- Confirm your company name and booth number
- Verify your order (drayage, electrical, labor, furniture, etc.)
- Settle any outstanding balances or provide a credit card on file
- Receive any paperwork you'll need during the show (material handling agreements, outbound shipping forms, etc.)
Step 3: Get Your Exhibitor Badge
After checking in, pick up your exhibitor badge. This badge grants you access to the show floor during move-in, show hours, and move-out. Keep it visible at all times — security will deny access without it.
Step 4: Proceed to Your Booth
Once you have your badge, you're cleared to head to the show floor and begin your load-in. Your freight will either already be at your booth (if it came through the advance warehouse) or will be delivered during your scheduled dock window (if direct-to-show).
Tips for a Smooth Load-In
- Arrive early — the services desk line grows quickly on the first day of move-in
- Bring your order confirmation and a photo ID
- If multiple team members need badges, have your booth roster ready
- Check the show's move-in schedule for your specific dock time, if assigned
