Show Load Out
A well-organized load-out saves hours and prevents lost materials. Follow the steps below to make sure your freight leaves the show floor quickly and correctly.
Step 1: Pack and Wrap Your Materials
As soon as the show closes, begin breaking down your booth and packing your materials. All items must be:
- Boxed, crated, or palletized — loose items will not be picked up
- Shrink-wrapped for stability during transport
- Banded where needed for heavier or taller loads
Step 2: Apply ST Productions Labels
Every piece of outbound freight must have an ST Productions outbound shipping label affixed to it. These labels are available at the Exhibitor Services Desk or from your on-site ST Productions representative.
Labels are how our floor staff identify material that needs to be picked up. Unlabeled freight will not be picked up and may be treated as abandoned by the venue.
Step 3: Complete Your Material Handling Agreement
Return your completed Material Handling Agreement (MHA) to the Exhibitor Services Desk. This document specifies your outbound carrier, destination, and piece count. Without a completed MHA, your freight cannot be released.
Step 4: Leave the Booth
Once your freight is wrapped, labeled, and your MHA is submitted, you're free to leave. ST Productions staff will pick up your materials according to the load-out schedule and stage them for your carrier.
Common Load-Out Mistakes to Avoid
- Forgetting to label every single piece — every crate, pallet, and case needs its own label
- Leaving loose items in the booth — these will not be picked up
- Skipping the MHA — no MHA means no pickup
- Scheduling your carrier before the official carrier deadline on the move-out schedule
